AIM is committed to providing a safe, professional, high-quality training environment for every athlete and family we work with. These policies set clear expectations so training remains consistent, respectful, and athlete-centred.

Safeguarding, Safety & Wellbeing

Athlete wellbeing is non-negotiable.

AIM maintains:

  • police-vetted coaching support (where applicable)
  • safeguarding and complaints processes
  • age-appropriate communication standards
  • respectful, inclusive training environments

Speak up early: Athletes and families are encouraged to raise concerns as soon as something doesn’t feel right. For athletes under 18, parents/guardians are recognised as essential partners.

Health and injury management: Athletes must inform AIM of any injury, illness, or condition that affects training. AIM may modify training, require rest, or recommend professional clearance where needed for safe participation.

Our Values

Athletes training with AIM are expected to demonstrate:

  • Intent — clear goals and purposeful effort
  • Discipline — consistency, preparation, accountability
  • Respect — for self, teammates, coaches, schools, clubs and officials
  • Wellbeing — physical and mental health come first

What Training with AIM Means

Athletes commit to:

  • following structured training programmes as prescribed
  • communicating honestly about fatigue, stress, injury and availability
  • arriving on time, prepared, and ready to train
  • behaving professionally and respectfully at all times

AIM commitments

AIM commits to:

  • evidence-based training and intelligent load management
  • age-appropriate coaching and communication
  • clear feedback, progression planning, and performance guidance
  • athlete-centred decisions that prioritise wellbeing

Competition & Representation

  • Athletes represent their schools and clubs in competition.
  • AIM does not enter athletes into events or manage registrations.
  • AIM provides coaching and preparation that complements existing competition structures.

Branding & Use of AIM Name

Athletes may:

  • identify as “training with AIM – Athletes in Motion”
  • wear AIM training apparel outside competition settings (where appropriate)
  • reference AIM in bios and social media

Athletes will not:

  • replace or obscure school or club uniforms in competition
  • represent AIM as a competition entity

For athletes under 18, parent/guardian consent applies for public representation.

Communication Expectations

  • Open, respectful communication is expected.
  • For athletes under 18, parents/guardians are recognised as partners.
  • Safety, wellbeing, conduct, or training concerns should be raised promptly.
  • Sensitive matters should be raised directly with the coach (not via group channels).

Fees, Payments & Programme Changes

Fees and schedules are provided at onboarding (or in programme documentation). AIM may adjust training groups, session structure, or programme access based on readiness, safety, capacity, and performance needs. Where fees change, AIM will provide reasonable notice.

Cancellations, Weather & Missed Sessions

AIM may adjust sessions due to weather, facility access, safety risks, competition calendars, or coach availability. Where possible, alternatives or rescheduling may be offered. Missed sessions may not always be recoverable depending on programme structure.

Privacy & Data Handling

AIM collects only the information needed to assess readiness, provide coaching support, and communicate with athletes and families.

AIM may collect:

  • contact details and basic athlete profile information
  • training and performance information (PBs, event focus, progression notes)
  • limited health information only where relevant to safe participation (e.g., injury status)

AIM will:

  • store information securely and share it only with those supporting delivery of AIM services
  • not sell personal data to third parties
  • respond to requests to update or correct information within a reasonable timeframe

For athletes under 18, parents/guardians may request access to or correction of relevant information.

Photography, Video & Content Use

AIM may capture photos/video for:

  • coaching feedback and technical analysis
  • programme communications and promotion only where consent is provided

Families can opt out of promotional use at any time. For athletes under 18, parent/guardian consent applies.

Disclaimers

Training risk: Athletics training carries inherent risks. AIM coaches to reduce risk through progressive programming, supervision, and safety practices, but cannot eliminate all risk.

ACC: In New Zealand, ACC generally provides cover for personal injuries. Athletes and families remain responsible for seeking medical advice and treatment when required.

Limitation of liability: To the fullest extent permitted by law, AIM is not liable for indirect or consequential loss arising from participation in training. AIM’s liability is limited to the fees paid for the relevant period of service.

No guaranteed outcomes: AIM does not guarantee selection, medals, scholarships, contracts, or representative honours. AIM provides structured preparation, coaching standards, and athlete development support.

By joining AIM, athletes and families acknowledge:

  • understanding AIM’s role as a training organisation (not a club)
  • commitment to AIM values and expectations
  • shared responsibility for athlete wellbeing, conduct, and development
